The following menu items are found on the Output menu, when in the Members module, under “Accounts Receivable.” “Account Open Invoice Statements: E-mail with MS Outlook”

“Billing Info Diagnostics”

CC-Assist uses the information in the Member “Detail View”: “Bill Info” page of the Member records for members with “pays dues” member status codes to create dues invoices for all members that are scheduled for billing in a specified month. Errors in this information can cause members to be billed incorrectly – or worse, to not be billed at all! So it is important that this information is accurate.

CC-Assist provides a wizard called the “Billing Info Diagnostics” that produces a report designed to identify any Members that have incorrect data entered in the text boxes in the Member “Detail View“: “Bill Info” page so that you can correct them. The Members module Output: Accounts Receivable menu provides access to this wizard. The “Billing Info Diagnostics” wizard consist of the following steps:

“Aged Account Balances”

This report is an accounting report of the A/R balance for all Member transactions entered into CC-Assist and should correspond to the A/R balance on your Balance Sheet in QuickBooks or other accounting software.

Choosing this menu item displays the Print Aged A/R Balances dialog box. Specify the version, Summary or Detail, and the “As of” date.

The summary version shows a total of debits, a total of credits, and a net amount due as of the date specified. The detail version lists each debit and credit balance for each Member, as well as the Member’s status. The total of debits, total of credits, and net amount is shown at the bottom.

Once you specified the version and date, choose the “OK” command button; this displays the Print Job dialog box from which you can print or preview the “Aged Account Balances” report. For more information, see “Creating Output.

“Dues Billing Analysis”

This report is helpful in analyzing amounts billed for Membership Dues in past periods and also predicting future revenue from Membership Dues.

Choosing this menu item displays the “Print Dues Billing” Analysis dialog box in which you specify the version, Summary or Detail, and the period.

The summary version shows summarized totals for “Billed,” “To Bill,” and “Total” for each month. These numbers come from the total number of active Members that are assigned a paying dues Member Status. The detail version lists each member grouped by month. Total members and total transactions are shown at the bottom of the Dues Billing Analysis.

Once you specified the version and period, choose the “OK” command button; this displays the “Print Job” dialog box from which you can print or preview the Dues Billing Analysis. For more information, see “Creating Output.

Unapplied Credits Listing

This report should be run each month as part of your dues billing process. This report allows you to identify any unapplied credits from overpayments or early payments.

Choosing this menu item causes CC-Assist to check for any A/R Payments and A/R Credit Memos which are not fully applied to an invoice. If there are no unapplied credits, CC-Assist will display a message box that reads, “No items selected.” If there are unapplied credits, CC-Assist will display the Print Job dialog box from which you can print or preview a list of unapplied credits. “Account Open-invoice Statements”

The “Account Open Invoice Statements” allows a user to create statement(s) for a Member(s). Each statement displays all open invoice(s) as of a specified date for a Member.

Choosing this menu item displays a “Print Member Open-Invoice Statementswindow. Specify desired data components (e.g. Line Items and Applied Credits). Specify for which members you want to create a statement using “Member Filters.” You may also use “Invoice Filters” if you want to limit which open invoices you wish to be on the statement(s). On the “Form Specifications” tab, be sure to specify your “As of date” (e.g. today) and select the desired options to specify how the statement should appear when printed. “Account Open-invoice Statements: E-mail with MS Outlook”

The “Account Open Invoice Statements: E-mail with MS Outlook” allows a user to e-mail statement(s) for a Member(s). Each e-mail statement displays all open invoice(s) as of a specified date for a Member. Choosing this menu item displays a “Print Member Open-Invoice Statements” window. Specify desired data components (e.g. Line Items and Applied Credits). Specify for which members you want to create a statement using “Member Filters.” At a minimum you must filter either by “Current Member Only” or by “Having a billing rep e-mail.” You may also use “Invoice Filters” if you want to limit which open invoices you wish to be on the statement(s). From the “Form Specifications” tab, select options to specify how the statement should appear and the order in which they are to be created using the “Order” tab.
