An A/R Credit Memo “Detail View” is accessed by expanding the Accounts Receivable folder in the “Module Explorer” and opening the A/R Credit Memos module. The “Detail View” is displayed below the “List View.”

NOTE: The following descriptions of the items in this page are supplemented by the discussion under “Case studies – Credit Memos.”

“Date”

The date of the Credit Memo.

“Member”

A lookup text box showing the Mem # and name of the member to which the Credit Memo is associated.

“Memo”

A description, if any, of the transaction.

“Line Items” page

A scrollable table listing the Line Items within an A/R Credit Memo. See “Creating and applying a Credit Memo” for more information.

“Application” page

A scrollable table listing the A/R Invoices which remain open or have the selected A/R Credit Memo applied. Within this page is the Application table.

Application table

A scrollable table listing the open invoices or invoices to which this Credit Memo has been applied. The table has four columns: “Date,” “Description,” “Amount,” and “Applied Amount.”

“Applied Amount”

The amount, if any, from the credit memo which is applied to the invoice.

“Credit Amount”

A read-only text box showing the dollar amount of the Credit Memo. You do not enter this amount; CC-Assist calculates it by summing the amounts from the Credit Memo’s Line Items.

“Total Applied”

A read-only text box showing the amount of a credit memo that is applied to one or more invoices.

“Total Unapplied”

A read-only text box showing the amount of the credit memo that has not been applied to any invoice(s).

Credits menu

The credits menu has the following menu items.

“New Row”

Choosing “New Row” creates a new Credit Memo. For more information see “Creating and applying an A/R Credit Memo.”

“Open Row”

Choosing the “Open Row” item displays the “Choose Member” window from which you can choose the member for whom the Credit Memo applies. Then the Credit Memo “Detail View” displays for information to be entered regarding the credit.

“Delete Row”

Choosing the “Delete Row” item deletes the currently selected Credit Memo.

“Show All”

Choosing “Show All” merges Credit Memos dated in a previous period into the current “List View”. For example, if in the current view Credit Memos dated more than 6 months previous do not appear in your current view, select Show All to view all records.

“Reverse Row”

Choosing “Reverse Row” allows you to reverse a transaction in a previous period. Two things occur when using this function. CC-Assist marks the selected transaction as reversed, and automatically creates another transaction, a Reversal, with a date that you specify that negates the effect of the transaction being reversed. (The date that you specify for the reversal transaction must be in a subsequent accounting period.)

The Reversal is a copy of the reversed transaction that differs from the reversed transaction in two ways: it has a different date, and the amount of each item in the transaction is reversed – that is, a debit amount is changed to a credit amount and vice versa.

The net effect on any accounts whose balances were affected by the transaction being reversed is the same as if the transaction had been deleted.

NOTE: Reversing a transaction is permanent and cannot be undone; neither the reversed transaction nor the Reversal form can be deleted. Therefore, reverse a transaction rather than delete it only in situations where deletion would change already-published financial results. If a transaction is reversed by mistake, contact Chamber Data Systems.

“Procedures”

Choosing this menu item displays a selection dialog box from which you can choose any other outputs that are implemented as “installed options.”

Items menu

This menu is only available when the “Line Items” page is selected.

Applications menu

This menu is only available when the “Applications” page is selected.

“Open Row”

Choosing the “Open Row” item opens the invoice that is selected in the Credit Memo “Detail View”.

“Apply maximum”

You can choose the “Apply maximum” item to have CC-Assist automatically enter into the “Applied” column the maximum amount of the invoice that can be applied to.

“Apply zero”

You can choose the “Apply zero” item to have CC-Assist automatically enter 0.00 into the “Applied” column.

“Procedures”

Choosing this menu item displays a selection dialog box from which you can choose any other procedures that are implemented as “installed options.”

Output menu

“A/R Credit Memo Listing”

Choosing this menu item displays the “Print A/R Credit Memo Listing” dialog box which has four tabbed pages: “Data Components,” “Credit Memos,” “Grouping” and “Order.” For more information regarding saving and recalling report settings, see “Creating Output.

“A/R Credit Memo Application Summary”

Choosing this menu item displays the “Print A/R Credit Memo Application Summary” dialog box which has date selection boxes to choose the date range.

“Other”

Choosing this menu item displays a selection dialog box from which you can choose any other outputs that are implemented as “installed options.”
